| Dear SEG Member The 2025 Committee is delighted to invite you to the 2025 Annual General Meeting, to be held in conjunction with our annual awards presentation, as follows: When: Sunday 30 November Time: 3pm Where: Samford Farmers Hall The AGM is required under the Associations Act to approve the Club’s Annual Accounts and Auditor’s Report and to enable the election of Association Officers on the Management Committee. In addition, the AGM provides a forum for members to obtain information about the Club’s direction and provides an opportunity to actively participate in the running of the club. This year, the club is seeking nominations for 4 out of 5 of the Management Committee members, due to the incumbents having served their 2 year terms. Without nominations for these positions there will be no club, and we therefore strongly encourage you, our dedicated and loyal members, to step up and help us continue to provide the amazing club environment that exists today. Nominate your interest in these roles by 16 November 2025 on the attached nomination form and email to secretary@samfordequestriangroup.com.au The Secretary was elected in December 2024 and no new election is required this year. Club President The Club President is an elected position on the Management Committee and acts in accordance with the Samford Equestrian Group Constitution. The President serves as the leader and representative of the club, overseeing its activities, operations and community presence. The role involves guiding the committee in decision-making and ensuring that the club’s goals, values and events align with its mission. Additionally, the President acts as the primary point of contact for external organisations and governing bodies. Are you the ideal candidate? Vice President (Equine Operations and Members) The VP (Equine Operations and Members) supports the President in managing the club’s day to day equestrian activities and member engagement. This role focusses on ensuring the welfare, safety and smooth coordination of horses, riders and events, while fostering a welcoming and inclusive environment for all members. This VP role also assists in organising training sessions, competitions, and clinics, and works closely with coaches, volunteers and committee members to uphold high standards of care. If you have strong communication and organizational skills, experience in equine management or event coordination, and a practical understanding of horse welfare and safety practices, WE ENCOURAGE YOU TO APPLY! Vice President (Facilities and Projects) The Vice President (Facilities and Projects) is responsible for overseeing the maintenance, development, and improvement of the club’s grounds, buildings, and infrastructure. This role ensures that all facilities are safe, functional, and well-presented to support the club’s equestrian activities and events. This VP role coordinates repairs, upgrades, and new projects in consultation with the committee, managing budgets and liaising with contractors or volunteers as needed. They play a key role in planning long-term improvements and ensuring compliance with safety and regulatory standards, helping to create a well-maintained and enjoyable environment for members, visitors, and horses alike. Are you the ideal candidate? If you have strong project management and organisational skills, practical knowledge of facility maintenance or construction, and the ability to work collaboratively with volunteers, suppliers, and committee members to deliver high-quality outcomes, WE ENCOURAGE YOU TO APPLY! Treasurer The Treasurer is responsible for managing the club’s financial operations and ensuring its long-term financial stability. This role involves maintaining accurate records of income and expenditure, preparing budgets and financial reports, and overseeing banking and payment processes. The Treasurer works closely with the committee to plan and monitor spending, ensure compliance with financial regulations, and support fundraising or grant applications. They also provide transparent financial updates to members and stakeholders, helping to ensure accountability and informed decision-making within the club. Are you the ideal candidate? If you have experience in financial management or bookkeeping, with the ability to communicate financial information clearly to both the committee and members, WE ENCOURAGE YOU TO APPLY! COORDINATOR COMMITTEE ROLES SEG has several coordinator roles that work within the committee and sub-committee structure to manage our facilities and, most importantly, coordinate competition, training, and social events. Coordinators’ benefits from joining the committee include SEG event discounts and subsidised membership fees. In addition, coordinators can shape the format of events and directly influence the way the club performs into the future. The following committee positions are open, and we are calling for nominations from enthusiastic club members who want to work as part of a team to deliver excellent facilities and events. Memberships Coordinator This role manages the club’s membership base and ensures a welcoming, organized experience for all members. The coordinator handles new member inquiries, processes applications and renewals, and maintains accurate membership records. Overall, the role combines administrative efficiency with a passion for supporting a friendly and inclusive equestrian environment. Grants & Fundraising Coordinator The Grants & Fundraising Coordinator plays a key role in securing financial support for SEG’s programs and initiatives. The role will research funding and sponsorship opportunities, write grant proposals, collate supporting documentation and submit applications to secure financial support for SEG’s programs and initiatives. This role requires strong communication and organisational skills, with a focus on advancing the club’s long-term growth. Official Dressage Coordinator SEG runs 4 Official Dressage days each year, offering a competition space for both members and visiting competitors. The coordinator has oversight of all aspects of running these events and works within the rules of EQ. The coordinator can carry out this role independently or share the role with a sub-committee. Jump Club Coordinator SEG runs a number of Official Jumping days each year, offering a competition space for both members and visiting competitors. The coordinator has oversight of all aspects of running these events and works within the rules of EQ. Expressions of interest are sought to assist the current coordinator in managing the administration tasks associated with these events. Members FUN Days Coordinator The Members Fun Days Coordinator organises a range of activities – including fun competitions, social rides, and themed gatherings – that encourage participation and strengthen member engagement. The coordinator manages event logistics, including scheduling, registrations, and coordination with other volunteers. This role is centred on creating a welcoming, positive environment where members can connect, have fun, and celebrate their shared passion for horses. Social Events Coordinator The Social Events Coordinator is responsible for organizing and managing the club’s social calendar to foster connection and camaraderie among members. The coordinator plans and executes a variety of events such as dinners and other social gatherings. Junior Rider Representative The Junior Rider Representative is a newly created role in 2026 and was developed from a desire to hear from the club’s younger members, in terms of their ideas and needs. The role acts as a liaison between junior riders and club leadership, promoting youth engagement and inclusion in club activities. The representative helps plan and support events, training days, and competitions that encourage skill development and confidence among junior members. They also foster a positive, supportive environment where young riders feel valued and involved in the equestrian community. This role is key to nurturing the next generation of riders and strengthening the club’s future.
